E-mail Shortcuts

E-mail is a great communications tool. It's fast
and easy—perhaps a little too fast
and easy.
E-mail encourages people to take shortcuts they
wouldn't take in handwritten or printed letters. E-mail presumes
readers understand the meaning conveyed even when the writer has
eliminated subjects, skipped verbs and written incomplete sentences.
The result? Confused readers who are left scratching their heads,
wondering what the real message is supposed to be.
It's true that it takes a few extra moments to
double check your writing, replacing missing words and filling in
unintended gaps in the meaning of the text. However, your readers will
be grateful that you took the extra time to make sure your writing can
be clearly understood.

Have you ever noticed that the most successful people are
usually the ones who communicate well? It’s true that there are
exceptions—successful people whose communications skills aren't as good
as they could be. However, men and women who speak and write well
maintain a distinct, competitive advantage over colleagues who don’t
have a solid command of the English language.
The most accomplished people use language to advance their
professional goals. Unfortunately,
too many people view public speaking
and writing as stumbling blocks which can’t be overcome. They don’t
realize that almost everyone can improve these skills with a determined
effort. The real stumbling block for these folks is facing their fears.
Once they do that they can find the help they need to improve, whether it’s enrolling in classes or receiving
private instruction.
With training and practice,
people can enhance their abilities to speak and write effectively—advancing their careers in the bargain!

Critiquing Your Writing

Nobody expects you to write the great American novel when you
write an e-mail or a report at the office. In fact, most people are
grateful that they don’t have to read anything more than the minimum
necessary to accomplish their work. Keeping your writing focused and as
brief as possible is usually a good rule to follow.
Still, it can be difficult to know if what you wrote is good
or bad. Does your text help you land a promotion? Or does it harm your
chances for success?
One way to mitigate potential problems is to ask a co-worker
to read what you’ve written and offer a critique—before you send that
e-mail or distribute that report. Listening to someone else evaluating
your text may not be easy, but it will help you polish your writing and
improve your odds of succeeding.
